Retreat Room Changes After a Cancellation: Checklist

When a retreat guest cancels, update more than their registration status. Their room assignment, roommate request, and the venue's latest rooming list may all need attention. Follow a short sequence so an open place does not turn into conflicting promises.

This guide covers rooming administration for an adult retreat. Handle refunds and booking terms through your existing registration process.

Keep the original record

Mark the guest as cancelled instead of deleting the row. Preserve the previous assignment and record the date of the change. That history helps explain why a venue's earlier copy differs from your current plan.

If a spreadsheet is your source of truth, use a status column and save a dated copy before making the rooming changes. Do not let an old export become the working master.

Review the room before offering the place

  1. Confirm whether the guest's cancellation frees a bed or an entire room.
  2. Check the remaining roommate's agreed arrangement.
  3. Review any room-specific constraints.
  4. Identify whether someone on the waitlist fits that available arrangement.
  5. Confirm the new attendee through your usual registration process.
  6. Update the room board only when the new arrangement is agreed.

A vacant bed is not automatically interchangeable with every other available place. Someone requesting a single room may not want the spare bed in a shared twin.

Tell the venue what changed

Send the revised list through the channel you have agreed with the venue. Identify the version it replaces and summarize the affected room. Ask for confirmation when that is part of your handoff process.

Send guests only the information they need about their own arrangements. Avoid circulating a full list of personal preferences when a short room-change message will do.

Reconcile before arrival

Compare the final guest list to the final rooming list. Every overnight attendee should have one assignment; cancelled guests should no longer occupy a place. Check that the venue has the same version and that unresolved requests have a named next action.
